Before first dispatch, collect identity and licence proof, medical fitness evidence, abstract or MVR, application and history inquiries, road test or equivalent, drug-and-alcohol program steps where required, and signed critical policies. Training that is not a legal precondition can follow in week one — but never dispatch on a missing hard qualification item.
Must-have before keys
Valid licence for the equipment class. Medical status current. Abstract/MVR inside policy window. Application complete. Previous-employer inquiries launched (and documented if pending). Road test certificate on file. Pre-employment drug test negative when Part 382 applies. Clearinghouse full query complete for CDL hires in the US program. Emergency contacts and payroll identity documents your finance team needs.
Same week
Policy handbook acknowledgments, ELD training, cargo securement, customer site rules, tablet or app setup, and photo for the driver profile. Optional items should be labeled optional so they never silently block approval.
Self-upload speeds everything
Send the driver a secure link to upload licence, medical, and abstract photos. Safety reviews and approves; the document lands in the DQ file with an expiry date. That pattern cuts days off onboarding for remote hires.
FAQ
Should I hire before the abstract returns?
You can extend a conditional offer, but most safety programs block dispatch until the abstract/MVR and medical are in. Conditional paperwork is not the same as road-legal qualification.
